Using the switch matter type tool
Our How to... series gives practical tips and step by step guides on how to do lots of different things in Actionstep. We develop these based on the queries raised by customers with our support team.
Our latest How to... looks at changing the matter type of an existing matter:
- What is the switching matter tool?
- How to go in the system to switch matter types
- What are my options? (Such as - can I convert matter types in bulk?)
- How it can help your law firm?
Ok, lets dig in...
1. First, why should I know how to do this?
It happens often - you open a matter for a client and then realize the work is different to what was expected or was not known at the outset. Or perhaps you want to refine how you categorize your matters. So when you need to convert a current matter type to another matter type for e.g. "general matter" to "conveyancing" type - what do you do?
Note: To pre-empt a common FAQ - it's good to know that when switching a matter type, the matter number, file notes, documents and emails will be retained and parties and customer data will be converted based on mapped values.
2. Where do I start in Actionstep?
Navigate Admin -> Matter Types-> Change matter type for 1 or more matters (button).
Mapping a matter type to another
When mapping a matter type to another matter type, it is essential that those two matter types are mapped. If they have not been mapped then a new mapping can be created - click "Create new mapping"
See switch matter types sample below:
3. Convert matter types in bulk
In addition matters within Actionstep can be converted in bulk e.g. selecting all matters of that type or individually selecting each matter to convert. This is both efficient and time-saving.
The switching matter types option in Actionstep helps law firm's fix incorrectly categorized matters, drill down to more specific matter types and also manage your matter type categories through bulk conversions.
